Everesting Official Events – Terms and Conditions
Definitions
- Everesting: The act of ascending elevation by repeatedly riding/driving a single route or a set of routes until the cumulative vertical gain reaches 8,848 meters (the height of Mount Everest). Each ascent is counted toward the total elevation.
- Route/Climb: A defined segment or hill selected for repetitions during the event.
- Cutoff time is 19 hours
- Starting Times are: 04:00 and 09:00
- Finish Closing Time is: 23:00
- Bike Park & Bike Check In: A secured area for participants to deposit the bike the day befor race day.
- Start/Finish Zone: The designated area where timing begins and ends for a participant’s attempt.
- Support Crew: Authorized persons who assist a participant within permitted zones and guidelines given by the Organisation.
- Doping/Anti-Doping: The use of prohibited substances or methods to enhance performance, or any testing that violates the event’s anti-doping policy.
Organizing Body & Governance
- Organizing Committee (OC): Responsible for event direction, rule enforcement, safety decisions, and dispute resolution.
- Technical Delegate(s): Appointed officials who interpret rules and authorize course changes, if needed.
- Rules Updates: The OC reserves the right to amend rules for safety, legal compliance, or unforeseen circumstances. Changes will be communicated promptly.
Registration
- Eligibility: Open to participants who meet the minimum age requirement and can meet the physical demands of sustained climbing. Medical clearance may be required.
- Registration: Complete the official registration process and submit all requested medical information (if needed by country), waivers, and emergency contacts.
- Documentation: Bring or submit proof of registration, identification, and any required waivers on race day.
Safety & Medical
- Medical Support: On-course medical staff and first aid are provided. Participants must inform staff of any emergency symptoms (chest pain, dizziness, severe shortness of breath, etc.).
- Personal Readiness: Participants should be physically trained for the endurance nature of Everesting and prepared to handle altitude-related stress, dehydration, and fatigue.
- Safety Rules: Comply with all safety instructions from marshals, medical staff, and course officials.
Equipment, Bicycle & Gear Standards
- Bike Eligibility: Any bicycle that is safe and road- or trail-appropriate for the chosen route. No disallowed equipment that provides unfair advantage (e-bike or any power support).
- Brakes, tires, and components: Must be functioning properly and in good repair.
- Lighting & Visibility: When required (e.g., dawn/dusk), front and rear lights must be used; high-visibility clothing or reflective gear is recommended.
- Helmets: Mandatory at all times while riding on course zones.
- Accessories: Mobile devices, GPS, and navigation aids may be used, but organizers are not responsible for device malfunction.
- Spare Parts & Tools: Carry essential tools and spares as appropriate for the route and climate. The Organization may provide “bike service” for particpants in the EXPO and on the course. This will be announce ahead of the race and might change from event to event.
Apparel & Personal Equipment
- Clothing: Wear weather-appropriate cycling attire; dress for safety and visibility.
- Layering: Expect changing conditions; ensure you can adjust clothing as needed.
- Personal Nutrition & Hydration: Riders are responsible for their own hydration and nutrition unless organized aid stations / special needs station put in place by the Organization.
Route, Course
- Course Design: The OC defines the official route(s) and any valid alternate routes.
- Start/Finish: Timing begins when the rider starts the first ascent and ends after completing the final ascent that achieves 8,848 meters of elevation gain.
- Traffic Laws: All participants must obey local traffic laws and respect other road users. On open as on closed roads, participants should ride predictably and safely.
- Course Marshal Instructions: Follow all marshal directions and signage.
Classification & Results
- Everesting Events ranking will be in following sections:
- Professional Athletes ( Solo or Team) in both genders Female / Male
- Age Group Athletes ( Solo) in both genders Female / Male (18-25; 26-30 … 70+)
- Team in both genders Female / Male
- Mixed Team
- Results: Final placements, certificates, and/or records are issued based on verified data. Discrepancies may be appealed per the appeals process.
Protocols
- Registration & Bike Check In: Participants must register and check in the bike at the designated bike park area, where the bike will be checked and deposit for the night.
- Arrival in the morning: Participants must check in at the designated bike park area, take the bike and proceed to the Start area.
- Start Procedure: Follow the official start protocol; failure to comply may result in disqualification.
- DNF: Participants not finishing and stopping at anytime of the race, need to notify officials in the Start – Finish area or any Marshal on the race course.
Support, Crew & Spectators
- Support Crew: Authorized to assist within designated zones only; contact with riders outside these zones may be prohibited.
- Non-Staff Assistance: Outside assistance from friends or family along the course is generally not permitted unless explicitly allowed by the OC in designated areas.
- Spectators: Must follow safety instructions; keep clear of rider paths and marshal zones.
Safety Spotting, Vehicle Use & Road Management
- Vehicle Access: Official vehicles may be allowed for safety, rescue, or course management; private vehicles must not block routes or impede participants.
- Traffic Control: Marshals may require temporary road closures or restrictions; comply immediately.
- Hazards: Report hazards to officials; do not attempt to clear hazards yourself if dangerous.
Weather, Altitude & Environmental Conditions
- Weather Policy: The OC may modify or cancel sections of the event due to unsafe conditions (e.g., severe weather, high winds, poor visibility).
- Altitude Effects: Participants should recognize risks such as dehydration, altitude sickness, or fatigue. Seek medical attention if symptoms arise.
- Environmental Stewardship: Leave-no-trace principles; do not litter; respect wildlife and local residents.
Environmental & Ethical Conduct
- Waste Management: Use designated bins; take all personal waste with you if no disposal options exist.
- Respect for Local Communities: Minimize disruption; follow course signage and local regulations.
- Fair Play: No cheating, manipulation, or misrepresentation of results.
Anti-Doping & Fair Competition
- Anti-Doping Policy: Participants must comply with applicable anti-doping regulations. Any doping or prohibited assistance can lead to disqualification and sanctions.
- Equipment Integrity: No deliberate manipulation of bikes, devices to gain an advantage.
Privacy, Media & Intellectual Property
- Data Collection: The event may collect participant data for registration, timing, and communications. By participating, you consent to use of your data by the OC for legitimate purposes.
- Media Rights: The OC may use photographs, videos, or other media featuring participants for promotional or historical purposes.
Insurance, Liability & Waivers
- Waiver: Participation implies acceptance of a liability waiver provided by the OC.
- Insurance: Participants may be required to have personal or travel insurance covering sports activities and injuries.
- Limitation of Liability: The OC, sponsors, and volunteers are not liable for personal injuries, property damage, or losses beyond what is legally permissible.
Disqualification, Penalties & Appeals
Appeals: Participants may appeal decisions per the official appeals process and within defined timeframes.
Disqualification: The OC may disqualify participants for safety violations, rule breaches, cheating, or failure to comply with instructions.
Penalties: Penalties may include time adjustments, loss of results, or removal from the event.
Everesting Tours – Terms and Conditions
All reservations with Everesting Challenge, SL are subject to the following Terms and Conditions
Booking Confirmation
To book a trip you should submit a Booking Form from our website or to a tour operator appointed by us. As part of the booking process, you will be asked to pay a deposit to secure your booking. Within 1 working day of you submitting the booking, our staff will contact you via e-mail to confirm the booking and the deposit payment. Please don’t confirm any travel plans until you’ve received the booking confirmation e-mail from our staff. You will also receive an invoice via e-mail showing you the final amount due and the payment due date.
- Final Payment
Final payment is due 90 days before the Trip Start Date. If you book the trip less than 90 days before the Trip Start Date, full payment will be due at the time of booking.
- Cancellation Policy
Cancellations policy is the following:
- If You cancel a Trip
| More than 90 days prior to Departure | Receive a Refund of 100% of all payments already made OR 100% of the tour deposit will be given as a future Trip credit. |
| Between 61 and 90 days prior to Departure | Receive a Refund of 50% of all payments already made OR a 75% of all payments as a future Trip credit. |
| Between 31 and 60 days prior to Departure | Receive a Refund of 25% of all payments already made OR a 50% of all payments as a future Trip credit |
| 30 days or less prior to Departure or no-shows | No refund or future Trip credit. |
Please note that a Trip Credit cannot be converted to a refund at a later date.
- If Everesting Challenge, SL cancels a Trip
Everesting Challenge, SL reserves the right to cancel your trip under any of the following circumstances:
- Where extraordinary or unavoidable circumstances beyond our reasonable control arise. Such circumstances include but are not limited to, dangerous weather conditions, fires, natural disasters, industrial actions, war, riots, pandemics, civil or political unrest, terrorism and technical problems which may arise with transport.
- If we believe that the safety of our guests or staff could be compromised.
- The minimum number of guests needed to operate one of our trips has not been met.
In the event of such a cancellation, Everesting Challenge, SL will issue a full refund of any amounts paid, unless the cancellation was caused by a global pandemic, such as COVID-19. If a global pandemic is the cause of the trip cancellation, Everesting Challenge, SL will issue a Trip Credit of the full amount paid to be used towards any future Everesting Challenge, SL trip within a period of 36 months of the trip cancellation. A Trip Credit cannot be converted to a refund at a later date and it is not transferable. Everesting Challenge, SL will not be responsible for any travel-related costs or extra costs incurred by the guest, the refund or Trip Credit will constitute full settlement. Everesting Challenge, SL reserves the right to make hotel and route modifications which become necessary due to circumstances beyond their control and undertake to inform all of you as soon as possible.
- Execution of a Trip
Everesting Challenge, SL or the tour operator appointed by Everesting Challenge SL at a given tour is responsible for the correct execution of all travel services included herein. In case Everesting Challenge is not the one operating, Everesting Challenge SL will inform before the start of the tour the exact name of the tour operator. Everesting Challenge, SL or the tour operator shall provide adequate assistance without undue delay to the traveler in need of assistance. Everesting Challenge, SL or the tour operator may invoice a reasonable surcharge for such assistance if the need of assistance has been caused intentionally or due to the negligence of the guest. Said surcharge will in no case exceed the actual costs incurred by Everesting Challenge, SL. By submitting this booking, you undertake to inform Everesting Challenge, SL without undue delay of any lack of compliance observed during the execution of a travel service included herein.
It will not be mandatory to hire the bicycle with Everesting Challenge SL or any of our tour operators. However, no discounts will be done if you bring your own equipment.
It will be mandatory however to use the same hotel for the good logistics of the whole tour.
Everesting Challenge SL will bring at least one tour guide and one support vehicle for the duration of the Trip.
In case the start point is not in an airport, Everesting Challenge SL will not include the logistics from any airport until the exact location where the Trip will start unless specifically mentioned in the tour and communicated to the customer.
- Changes to Booking
Any changes to your booking (dates, destinations, etc.) are subject to availability and may incur an administrative fee other that aggregates costs arising out from the requested modifications. Even though we will do our best to provide such changes, we cannot guarantee them, since they are beyond our control.
- Travel and Medical Insurance
Travel insurance is mandatory for everybody. Your insurance must cover adventure activities, medical expenses, evacuation, and trip cancellations. Proof of insurance will be required before departure.
You are responsible for having adequate insurance covering accident, personal injury, evacuation and medical costs, loss of luggage and cancellation.
Everesting Challenge, SL is not liable for personal injury, death, damage to property or other loss whether arising from accident, cancellation, delays or any other matter beyond our control. We strongly recommend that you protect your travel investment with Travel Insurance. We highly recommend that you purchase comprehensive travel insurance, covering trip interruption and cancellation, baggage, medical, accident/life, evacuation, repatriation and other expenses which might arise as a result of loss, damage, injury, delay or inconvenience occurring to you. You may purchase insurance through our preferred provider which, if any, it will be appointed and communicated at due time. If you decide not to use our preferred provider, we assume you are securing protection through another insurance company of your choosing. We also recommend that your travel insurance package includes Cancel for any Reason (CFAR) coverage.
In some trips, Everesting Challenge SL or the tour operator for the trip, will book the travel insurance on behalf of the client and include it on the price. We will inform you beforehand and let you know the Terms and conditions of the service. You will need to sign and return it to Everesting Challenge SL before the trip takes place.
IMPORTANT: please check with your Travel Insurance provider as you will typically be required to purchase the CFAR coverage within a few days of booking your trip and paying the initial deposit.
- Health Requirements and Medical Care
You must be in good health and physical condition to join Everesting Challenge, SL activities. It is your responsibility to ensure you meet the fitness levels required for the chosen itinerary. The operator reserves the right to refuse any person who does not meet these standards.
Our Trips are physically active, with varying levels of demands and fitness requirements depending on the specific itinerary. By agreeing to these terms, you represent that you do not have any physical or other conditions that would create a hazard for you or thirds or affect other people’s enjoyment of the Trip. Everesting Challenge, SL assumes no responsibility for any medical care provided to you. You agree to assume all costs of medical care and related transportation that are provided to you during the Trip.
In case of crash, injury or that you might not be able to continue the Trip or ride, Everesting Challenge SL might have a supported vehicle / sweep car. The number of seats might vary and in case it’s full, it will be the Tour guide who will decide who is in and who must continue riding.
- Itinerary Changes
Due to the nature of Everesting Challenge, SL travel, itineraries may need to be adjusted due to weather conditions, political instability, or other unforeseen circumstances. The operator reserves the right to modify the itinerary to ensure the safety and enjoyment of the group.
- Passports, Visas and Travel Documents
It is your responsibility to ensure they have the necessary visas, permits, and travel documents for the destination. Everesting Challenge, SL or the Tour Operator are not responsible for any delays or cancellations resulting from incorrect documentation.
You are responsible for ensuring that all necessary travel documents are valid and effective and in your possession for the entire Trip. If required, we suggest you apply for or renew a passport early. Other required documents may include visas, permits, and vaccination certificates. You assume complete and full responsibility for checking and verifying any and all passport, visa, vaccination, or other entry requirements. You are also solely responsible for any adverse consequences resulting from incomplete or defective documentation. While we may provide information or advice on matters such as visas, vaccinations, climate, clothing, baggage, and special equipment in good faith as a courtesy to you, we are not responsible for any errors or omissions as to the information provided.
- Age Restrictions
By joining Everesting Challenge, SL Trips and activities you must be 16 years old or older. Anyone from 16 years old to its full legal age must count with a parent or guardian permission.
Also, if you are between 16 and 14 years old, you can join the Trip, provided it is always accompanied by a parent or tutor. Parent or tutor will become responsible of participants between 14 to 16 years old.
In case of need of permission of a parent or guardian to travel, cross frontiers, etc., it will be your responsibility to have all such documentation, releasing Everesting Challenge, SL or the Tour Operator of any liability.
It is a recommendation and preference of Everesting Challenge, SL that if you are under full capacity of age, it would be better to travel accompanied by a parent or guardian with full legal capacity.
- Special Requests
Any special requests (e.g., dietary needs, accommodation preferences) must be communicated at the time of booking. While Everesting Challenge, SL or the Tour Operator will do our best to accommodate these requests, we cannot guarantee all can be met.
- Credit Card Authorization for Post-Booking Charges
You hereby authorize Everesting Challenge, SL to charge your credit card number for any change fees, price increases, or supplemental payments that you incur post-booking. If you prefer a different payment method, you must notify us in writing at the time of booking.
- Liability
The operator is not liable for any accidents, injuries, losses, or damages that might occur during the trip. By booking, you acknowledge that Everesting Challenge, SL travel involves inherent risks and agree to participate at your own risk.
Everesting Challenge, SL acts only as an intermediary for the various independent suppliers that provide lodging, meals, transportation, sightseeing, activities or other goods and services connected with your Trip (“Supplier” or “Suppliers”). You acknowledge that you are aware and clearly understand that these Suppliers are independent contractors, are not managed by Everesting Challenge, SL, and are not agents or employees of Everesting Challenge, SL. A Supplier’s services are subject to the Supplier’s own terms and conditions and the local laws and regulations of the relevant country. Everesting Challenge, SL will not provide any refund for a Supplier’s delay, cancellation, overbooking, or strike.
- Force Majeure
Everesting Challenge, SL will not be deemed in breach of this agreement or otherwise liable to you, by reason of delay in performance or non-performance of any of its obligations under this agreement to the extent that any such delay or non-performance is due to any Force Majeure. “Force Majeure” means any circumstances beyond the reasonable control of Everesting Challenge, SL, including without limitation acts of God, terrorist activities, insurrection, explosion, flood, tempest, forceful wind, fire or accident, war or threat of war declared or undeclared, sabotage, civil disturbance, labor strikes, requisition, sickness, quarantine, government intervention, weather conditions, and unforeseen circumstances. If Everesting Challenge, SL and/or any of its Suppliers are affected by Force Majeure, they shall be entitled to, and may in their sole discretion, vary or cancel any itinerary or arrangement in relation to the Trip. Regarding civil unrest, once Everesting Challenge, SL has investigated the prevailing situation, as it deems fit, it shall remain in its sole and absolute discretion whether to proceed with the Trip.
- Limitation of Remedies
You agree that the sole remedy for any default by Everesting Challenge, SL arising under this agreement shall be the return of the paid Trip cost. To the maximum extent permitted under applicable law, Everesting Challenge, SL shall not be liable for any special, consequential, indirect, incidental or other damages arising out of or in any way connected to this agreement, including lost profits, whether such damages arise in contract, negligence, tort, under statute, in equity, at law, or otherwise, even if Everesting Challenge, SL has been advised of the possibility of such damages. You expressly waive any right you may have to recover such damages.
- Trip Start Date
It is your responsibility to be ready to embark on the Trip as specified in the itinerary. Everesting Challenge, SL is not responsible for any losses due to cancelled or missed flights, changed flight itineraries, late arrivals, or early departures.
- Compliance with Local Laws and Trip Etiquette
You must strictly comply with all local laws, respect local customs and culture, accurately assess your abilities, respect other trip members’ privacy, and follow the suggestions and advice of any assigned guide. The decision of the local guide or local supplier is final on all matters that may threaten the safety or interfere with the well-being of others.
During the Trip, Everesting Challenge, SL or the local guide/supplier has the right in its sole discretion to remove anyone a) who it judges to be incapable of meeting the demands and requirements of participating in the Trip activities; or b) who it determines to detract from others’ enjoyment of the Trip.
- Images Release
You agree that Everesting Challenge, SL may use, re-use and reproduce any images, photos or videos that you send to us, or that are taken by our guides and/or other travelers of you individually or in a group, in any medium, including but not limited to print, electronic media, or Internet, free of charge and without your right to inspection, for promoting and publicizing our travel products and services worldwide. If you do not want us to use any images of you that are taken by us or other participants during the Trip, you must inform us or your Trip leader in writing at the start of the Trip.
You understand and accept that this grant of rights is hereby granted by all means, including internet, social nets, in perpetuity and worldwide at no remuneration, since it is an essential part of your participation.
- Others
- You agree to waive any legal claims against the trip organizer, sponsors, and other participants for any injury, loss, or damage suffered during or as a result of the trip, except in cases of gross negligence or intentional misconduct by the organizers.
- If any provision or part of these Terms is held to be illegal, unenforceable or ineffective, such provision or part thereof shall be deemed modified to the least extent necessary to render such provision legal, enforceable and effective, or, if no such modification is possible, such provision or part thereof shall be deemed severable, such that all other provisions in and referenced in these Terms remain valid and binding.
- In compliance with the Spanish Data Protection Law 15/1999 of December 13, Everesting Challenge, SL declares that the personal data provided by you will be integrated into the management files to streamline their administrative management and accounting, and the management of tourism services of this contract. Likewise, we inform you that, with the sole purpose of fulfilling our services herein hired, your data will be communicated to the providers of the contracted services to proceed with the booking of the tickets, the accommodation and means of transport, the travel insurance processing, etc.
